Start with the reason for switching

A useful Zipchat alternative fixes a defined gap: the agent workspace, the mix of human and automated service, or the way storefront conversations are managed. An attractive demo alone does not establish that your existing workflow can move safely.

Gorgias: evaluate the workspace as well as the agent

Choose a difficult handover as your demonstration: a shopper has discussed a product, then asks about an existing order. Ask the operator to locate the relevant context, assign ownership and complete the follow-up. Record every manual step. This reveals more about team fit than a standalone answer to an easy FAQ.

Request a written scope for the proposed subscription. Include the channels and actions you actually need, who can change automation settings, and how an operator investigates an incorrect response. Do not assume the helpdesk name guarantees every desired AI capability in your quote.

Tidio: map the components to real jobs

Tidio's Shopify offering combines live service, ticketing and Lyro AI. Treat that combination as the starting point for evaluation. Official Shopify integration

Write a responsibility map before a trial. For each request, specify whether a person, an automated flow or an AI answer should respond. Then ask what happens when the customer changes topic. The goal is one coherent conversation, not several overlapping greetings.

For example, test a product question followed by a request that requires approval. Observe whether the operator receives enough context to continue without asking the customer to repeat everything. Confirm the account's available features and limits instead of assuming every product module is included together.

Shopify Inbox: include the current agent in the comparison

Shopify now documents an opt-in Inbox agent for automatic customer replies. Describing Inbox as exclusively manual chat would miss that capability. Shopify Inbox documentation

For a storefront-focused evaluation, inspect the actual options in your store before buying another tool. Confirm access, language behavior and what happens when a shopper needs a person. An available setting is not evidence that it meets your policy or produces an acceptable answer.

If your requirement includes broader support operations, write those requirements separately. This guide does not establish parity between Inbox and a full helpdesk. A successful storefront test should not silently expand into approval for every service channel.

Compare replacement cost with improvement cost

Before switching, reproduce the failure that triggered the search. If a stale returns page caused the wrong answer, changing software without correcting that page may reproduce the same result. If the issue is repeated operator work, measure that work directly.

Build a common worksheet: expected requests, software commitment, setup hours, review hours and manual follow-up. Use the same workload for every quote and record uncertain items as questions. Run a reversible migration pilot

  1. Save the current setup and identify which records must remain accessible.
  2. Obtain confirmation of export, import and retention needs before cancelling anything.
  3. Limit the pilot to one queue and nominate an owner for missed conversations.
  4. Test wrong assumptions, absent information and requests for a person.
  5. Compare answer quality and operator effort on the same evaluation cases.
  6. Decide whether to switch, repair the existing setup or extend the test.
