What should you give an AI before it starts answering customers? A useful starting point is one approved answer for each common question, rather than a large pile of documents.

This guide organizes your information into a worksheet: question, answer, source, review date, and owner. You'll also get ten questions to check what the AI can answer and what should go to a person.

Start with one channel and one kind of question

Choose a task such as answering showroom visit questions on your website. Opening hours and booking instructions are information your team can readily check.

Start with a small set of reliable information

Our fictional showroom opens Tuesday–Saturday, 10 a.m.–6 p.m., and closes Sunday and Monday. Times are local to the showroom. Visitors submit a booking form, and a booking is confirmed only after a staff reply. These are our example business rules, not ConversionIQ defaults.

If an old PDF says “open Sunday” but the current visitor page says “closed Sunday,” resolve that conflict first. A staff member should decide which information is correct before the AI uses it.

In your working sheet, give each row a last-reviewed date and a trigger for the next review. Opening hours need checking when you announce a closure; consultation charges need checking when you change the price.

Add a few writing preferences: answer the question in the first sentence, explain specialist terms, don't fill in unknown prices, and distinguish a booking request from a confirmed booking. Keep tone preferences separate from business rules.

Try ten questions, including awkward requests

Once you have an approved answer, try asking the same thing in different words. You're checking whether the response preserves the conditions, not whether it repeats a memorized sentence.

The example test date is September 9, 2026, with Saturday visits referring to September 12. Use equivalent questions in the languages your customers actually use. Detailed Japanese-language performance, for example, can't be guaranteed from the public documentation alone.

Use three result labels: pass, needs revision, and not checked. Don't count “not checked” as a success. Save the answer, the destination of any link, and what the team actually received.

Check what happens after a handoff

ConversionIQ's FAQ describes configurable escalation to a person. A message saying “I'll connect you” is only part of the test; a staff member must receive enough information to help. Official handoff explanation

For test ten, designate reception as the first contact and the store manager as backup. Our example after-hours message promises review on the next opening day. A request arriving after closing on Saturday would therefore wait until Tuesday, because Sunday and Monday are closing days. Don't promise an immediate reply your team can't provide.

When information changes, repeat the same questions

Suppose the showroom changes its closing time from 6 p.m. to 5 p.m. Answering “When do you close?” correctly isn't enough if “Can I come at 5:30?” still gets the old response.

Don't assume changing a web page updates a previously uploaded PDF. Check the original source, the stored information, and the answer in that order. ConversionIQ's terms also put responsibility for monitoring and reviewing AI activity on the user. AI response responsibilities

Record usage alongside answer quality

Record the question, number of replies, usage shown in the account, and staff review time. A short answer is only useful if it helps the customer take the next step.

Decide whether the work is becoming easier

Look for accurate answers, useful handoffs, and manageable upkeep. Keep the difficult questions in the test set instead of removing them to improve a score.
