Choose the form around the support workflow
Gorgias is worth considering when the problem starts after a customer submits a question: who sees it, who replies, and how the team tracks the conversation. Replacing a form makes more sense when it improves that handoff, rather than simply changing the contact page.
The official Standalone Contact Form guide, checked October 3, 2026, describes a form connected to Gorgias tickets. A ticket holds the inquiry and its response history. You can share a link or publish the form on your website.
This article focuses on the intake point and the transition from your current form. For the wider helpdesk setup, see our getting-started guide. Bring a representative inquiry to a Gorgias demo so you can review the path from submission to reply.
Decide what your current Shopify form is missing
Begin with a specific operational problem. Shopify already supports a contact page through its themes; see the official Shopify instructions.
If your existing form works, identify why you would change it. You might need colleagues to see whether a question has been answered, want product and delivery inquiries handled consistently, or need attachments and conversation history in the same place.
Choose the person responsible for checking new requests and the backup for days off. A new intake form cannot settle those responsibilities for you. If your team handles several brands, decide which store and team each form belongs to before building it.
For a small store with a manageable inbox, focus the demo on one concrete improvement. That makes it easier to decide whether the helpdesk is a useful next step.
Separate intake features from visual design
Gorgias documents spam protection, multiple attachments, and configurable subjects, but not unrestricted styling. Its help article says the form's style cannot currently be customized. Check the available presentation against your site's needs rather than assuming a full form designer is included. Official form capabilities
Think about what an agent needs to begin helping. A damaged-item inquiry might need a photograph; a delivery question might need enough context to find the order. Collect useful information without making a simple question feel like an application form.
Spam protection is one part of intake management. Your team still needs a place to inspect incoming requests and decide what to do next. Rules can help organize form tickets, but start with a working manual path before adding more automation.
Preview the surrounding contact page as well as the form. The page can explain opening hours and the kind of help available. Keep that information consistent with your team's actual response process.
Include helpdesk usage in the cost discussion
Evaluate the form as part of the helpdesk you will use to receive and answer inquiries. Gorgias separates Helpdesk pricing from AI usage. Review the official pricing page and Shopify App Store listing, checked October 3, 2026.
Bring your current contact channels, staffing needs, and seasonal workload to the demo. Ask how the proposed plan handles your ticket volume and which parts of the workflow you can try before subscribing. Confirm the trial terms attached to your signup rather than assuming a universal duration.
Our pricing guide explains the broader cost model. For this decision, keep the question concrete: which plan supports the way your team intends to receive and answer these requests?
Create the form and choose where to publish it
Confirm the store before creating the form. Gorgias says a form's connected store cannot be changed afterward; a different store requires a new form. Its guide also lists direct links, manual HTML embedding, and automatic embedding as publishing options. Official setup steps
The documented route is Settings, Channels, then Contact Form. Create the form, review its name and default language, connect the correct Shopify store, and check the available subject settings before publishing.
A shared link may suit a simple contact entry point. Embedding may suit a page where the form and surrounding guidance should appear together. In either case, check whether a customer can find it from the footer and relevant help pages.
For stores serving more than one language, consider the whole exchange. The form's language, the confirmation text, and the team's reply language should work together. Test the customer-facing wording with the staff who will answer those requests.
Test the complete exchange before switching
A successful submission is the start of the check, not the end. Use an address your store controls to send a sample inquiry. Review the subject, body, and attachment in Gorgias, then send a reply and inspect it from the customer's side.
Check that the sender is recognizable, the reply reaches the correct address, and another agent can tell the request has been handled. Gorgias creates a corresponding view for form inquiries. A view is a filtered ticket list that helps staff find work.
Review links to the old contact method throughout the store. Delivery pages, product pages, and footer links can keep sending people to the previous inbox after the main contact page changes. Assign someone to monitor that inbox during the transition.
If you add an acknowledgment, make its purpose clear. “We received your request” should not be confused with an answer to the customer's question. Keep the request visible to the person responsible for the next step.
Common questions and the next step
Make the decision after reviewing appearance, intake, and replies together. These checks are easier to discuss with a real example from your store.
Must the form be embedded?
No. The official guide also offers a shareable link. Choose the route that makes the contact option easy to find and use on mobile.
Can I change its connected store later?
The documented approach is to create a new form for a different store. Verify the store during setup, especially if you manage several brands.
Will submissions immediately appear in Gmail or Outlook?
For direct Google or Outlook email integrations, the guide says the inquiries appear in the native mailbox after you reply. Use Gorgias as the initial intake check rather than relying only on that mailbox.
Bring your current contact page and a sample customer inquiry to a Gorgias demo. Ask to follow that request through to a reply, then decide how the form would fit your team's daily work.
