Choose ticketing when ownership matters as much as delivery

Tidio is worth evaluating when a shared inbox makes it hard to tell who owns a request or what happens next. A ticket groups an inquiry and its handling history so the team can work on the same conversation.

Start with a concrete problem: duplicate replies, a question left waiting for another colleague, or uncertainty about which conversations still need attention. Moving email into a new inbox is useful only if the workflow improves.

Decide which mailbox to move first

Pick a mailbox with a clear purpose and an accountable owner. You do not necessarily need a new customer-facing address: Tidio documents ways to connect existing mailboxes.

Before changing anything, identify who controls the email account and its forwarding settings. Separate messages that need a human reply from automated order notifications. An inbox that receives both can be a poor starting point if the team has not decided what it wants to handle in Tidio.

For a small store, product inquiries can make a useful first workflow. Decide where the team should send a returns question that lands there, and who covers the mailbox when the usual owner is away. Customers will not always choose the “right” address, so plan the internal handoff.

Keep ongoing conversations in mind, too. Decide where staff will find earlier messages and which tool they will use to reply during the transition. Otherwise, someone may respond from the old mailbox while a colleague answers from Tidio.

Verify forwarding, not just the mailbox entry

Adding an address is the beginning of the connection, not proof that mail is reaching the team. Tidio's setup starts under Settings, then Email, with connection options for different providers.

Follow the forwarding instructions for your provider. Use the forwarding destination generated for your own account. Where verification is required, look for the confirmation message; the spam folder is worth checking if it does not appear where expected.

Send a test inquiry from a separate email account. Check that it arrives, that the team can identify the receiving mailbox, and that a reply reaches the sender. Then reply again from the customer side. A one-way delivery test does not show how an actual exchange will feel.

Choose a realistic subject, such as a question about a product variation. It will reveal more about your workflow than a blank “test” message, especially if the team needs another colleague's input.

Set the sender identity and the ticket owner

Check what the customer sees as well as what staff see. Tidio documents custom-domain sender setup, which requires domain verification. Coordinate that work with whoever manages your domain.

Look at the sender name, reply address and signature in an ordinary recipient inbox. A technically delivered message can still be confusing if it appears to come from an unfamiliar address.

Inside the team, use a consistent distinction between the current owner and the next dependency. Waiting for a customer photo is different from waiting for a warehouse decision. A colleague taking over should be able to understand what has already happened and what remains to be done.

Try a complete scenario: a customer reports a damaged item, a staff member asks for the necessary details, and the customer replies. Decide who reviews the answer and makes the next decision. Once that path is clear, you can assess whether more mailboxes belong in the same setup.

Compare the support plan and AI usage separately

Email ticketing, AI replies and workflow automation are separate requirements. Write down which ones you actually need before comparing plans.

Tidio's current pricing page distinguishes support conversation allowances, Lyro usage and plan features. A mailbox staffed by people is a different purchase decision from a mailbox that should also receive AI-generated replies. Check that the features used during the trial are included in the plan you intend to keep.

Plan the follow-up before enabling Lyro for email

Get human handling working first, then decide where AI belongs. That gives the team a clear baseline before it adds automated replies.

Tidio's email documentation says a mailbox must be connected before enabling Lyro's Email channel. It also describes Lyro responding to the initial email in a new thread, with staff handling a subsequent customer reply. Build that handoff into your operating routine rather than assuming an AI response finishes every request.

An acknowledgment is different from an answer. “We received your message” does not approve a refund or resolve a delivery issue. If an acknowledgment includes a response-time promise, make sure it matches the hours your team can cover.

Questions to settle during the trial

Do you need to change live chat at the same time? Keep the evaluation focused on the email workflow first, then decide how it should connect with the rest of your support setup. Our getting-started guide covers the wider rollout.

What if messages are missing? Check the address, connection state, forwarding verification and spam handling. Test with a normal customer-style email rather than relying on an automated notification.

How do you decide whether to switch? Choose one operational problem and follow a representative request through the entire exchange. If staff can receive it, take ownership, reply and continue after the customer's response, you have a practical basis for comparing Tidio with your current inbox.
